The advisor lifecycle

The four stages every advisor goes through, who acts at each one, and how the admin console tracks them.

Updated October 19, 2026

Every advisor reflects on our brand, so nobody goes live without someone on our team talking to them first. All of it happens in the admin console at admin.collegepricecheck.com. The console sends the emails and publishes the profile for you.

The stages

StageWho actsWhat happens
ReviewTeamThe advisor applies at /advise and gets a confirmation email; the team gets a "New advisor application" alert. You review the profile, run the intro call, and approve or decline.
SetupTeam, then advisorYou send the Calendly invite, payout form, and card link. The advisor works through their setup checklist, then selects Submit for final check.
Final checkTeamYou verify setup, add their booking link, and set them live.
LiveNobodyTheir profile is public and bookable. They got a "You're live" email.

Two more states sit outside the path: Paused (temporarily hidden) and Declined (not moving forward).

How the console helps

  • The queue lists every advisor the team owes a step to, soonest deadline first. Advisors who are mid-setup are under Waiting on advisor.
  • Each advisor's page shows the next step, its deadline, the checklist for the current stage, and one button for the next status change. The button stays disabled, with the reason shown, until the checklist is done.
  • The timeline records every status change, checklist tick, note, and email, with who did it and when. Anyone on the team can pick up where someone else left off.
  • Owners. Each advisor has an owner on the team. Whoever first moves a new application forward becomes its owner; change it anytime under Details.

Promises we make

Advisors are told we'll review applications within 2 business days, and finish the final check within 1 business day. The console counts these deadlines for you and shows overdue advisors in red at the top of the queue.

Only live profiles appear anywhere public. Everything else is visible only to the advisor (on their dashboard) and the team.

Behind the scenes

The stage is the status column on the advisor's row in the advisors table: submitted (Review), approved (Setup and Final check), live, paused, or rejected (Declined). You don't need to touch it; the console changes it for you.
